The Heart of America Foundation (HOA) is a non-profit focused on educational equity through the renovation of school and community spaces, as well as the distribution of resources and supplies. The organization maintains a small warehouse in Landover, MD that houses books, furniture, tools, technology, and school supplies. The warehouse team is responsible for sending requested supplies to projects throughout the country in an organized and time-efficient manner.


The Heart of America (HOA) Warehouse Associate supports all warehouse activities to ensure daily warehouse operations are organized and efficient. This position will require the individual to complete the shipment, receipt and tracking of organization inventory in a timely and accurate manner. This position will work closely with the Operations Coordinator, Inventory Manager, and VP of Operations to ensure warehouse operations meet the needs of the organization.


As part of the Operations team, this position may also support broader operations initiatives as required. Strong communication and organizational skills will be used to strategize and coordinate with team members across all departments to support highly engaging and impactful projects. This position will be based at the HOA warehouse facility (Landover, MD) for up to 5 days per week.

Key Responsibilities:

  • Acts as main point of contact for all warehouse receiving, shipping and deliveries
  • Ensures the warehouse is maintained, cleaned, and organized
  • Uses tools and systems for inventory input, tracking and distribution
  • Supports Inventory Manager on end-of-year inventory count
  • Participates in local project delivery in a support role or volunteer lead
  • Other Projects as assigned


What you will do:

As our Warehouse Coordinator, you will be responsible for day-to-day activities at our warehouse. This includes, but may not be limited to:

Coordinate and execute HOA warehouse activities, act as main point of contact for all warehouse receiving, shipping and deliveries:

  • Ensure shipments for HOA Programs arrive at the designated site on time and are complete.
  • Maintains project schedule log
  • Proactively communicates with Project Managers and Procurement team members on the status of shipments
  • Ensures warehouse process and procedure are executed in the most efficient and effective way possible; when needed, develops, revised approaches for warehouse tasks.
  • Receive books/stock and supplies coming in from vendors and report discrepancies according to established procedures
  • Receive and inventory books/materials received from donors
  • Process outbound shipments as needed and assist with making deliveries related to book distributions and foundation events
  • Assists with book pulls for projects and process books for shipping; steps may include double counting, book plating, documenting, and packing selected titles.
  • Update shipping log daily, including tracking information
  • Organizes materials to create an efficient manual packing approach
  • Packs pallets according to pre-established design, inventory items, and completes steps necessary for shipping items safely.

Ensure the warehouse is maintained, cleaned, and organized:

  • Shelve books at the warehouse(s) according to established procedures
  • Keep the warehouse clean: take out the trash daily, sweep or dust as needed
  • Perform routine maintenance of warehouse technology according to HOA guidelines; troubleshoot with office as needed
  • Re-organize warehouse shelving to maximize efficiency
  • Inventory and maintain shipping supplies; request purchase of supplies with approval from Procurement, Operations
  • Serve as liaison between HOA and Metro Archives to coordinate receivables and shipments

Use tools and systems for inventory input, tracking, and distribution.

  • Actively engages Sage inventory system and other tools to ensure accurate inventory process is maintained.
  • Completes expense reports for UPS and other warehouse transactions.

Support Inventory Manager on end-of-year inventory count:

  • Actively participates in end-of-year inventory preparation, execution, and reconciliation.
  • Complete quarterly inventory checks to spot count stock and track damaged items.

Participate in local project delivery in a support role or volunteer lead:

  • Delivers items to local projects with rental vehicle
  • Serves as volunteer lead when requested
  • Supervises on-site volunteer activities


Skills and/or Knowledge:

We are looking for someone who has the following qualities:

  • 3 years of warehouse or other logistical experience
  • Ability to work in a fast-paced, high-energy environment
  • Proven project management track record: can establish priorities, work independently, and proceed with objectives without close supervision
  • Valid driver’s license, clean driving record, and ability to drive a box truck or minivan
  • Highly organized and skilled at managing multiple tasks and projects simultaneously
  • Has the ability to prioritize tasks and communicate outcomes
  • Integrity, positive attitude, mission-driven, and self-directed
  • Must meet strict deadlines on a consistent basis
  • Excellent analytical and organizational skills and attention to detail
  • Excellent verbal and written skills
  • Ability to get along well with diverse personalities and interact with people at different levels within an organization with tact, flexibility, and discretion
  • Comfort in a warehouse setting, sometimes with limited in-person team members
  • Willingness to work flexible hours, including occasional weekends
  • Technologically proficient (Microsoft Office: Word, Excel, Outlook, Teams)
  • Ability to lift to 60 lbs. repeatedly


Job Type: Full-time


Pay: $17.00 - $21.00 per hour
